Preface
Staff and Writing Procedures

Format This document has been written using the Information Mapping method of structured writing developed by Robert E. Horn.
Purpose The purpose of this document is to prescribe to Canadian Forces (CF) members and Department of National Defence (DND) employees the uses and formats for preparing administrative correspondence in hard copy or electronic form.
Standards These standards have been established by conforming to the standards of:
  • the NATO Standardization Agreement (STANAG 2066);
  • the Federal Identity Program (FIP);
  • Allied Communications Publications; and
  • national or international writing practices.
Application This document focuses on correct usage of the components within documents but also encourages the use of common sense and allows the originator to determine the appropriate tone and style.
Command
Directives
Commands are stongly encouraged to use this document for all their staffing needs in order to maintained the same standards accross the department and to avoid duplication. However if they absolutely need to develop a command correspondence programme information copies of such directives are to be forwarded to the office of primary interest (OPI) 30 days prior to publication.
Practices Practices not referenced or covered herein are optional.
Communication
Channels
Correspondence shall be transmitted through established command channels, unless exempted by a higher headquarters. If exceptions are authorized, informational copies should be sent to exempted addressees.
OPI The OPI of this document is Director Corporate Administration Staff Procedures DCA 2-2-3.
Users of this document are invited to send comments, amendments and suggested improvements to the OPI.
